Job Summary:
Provides administrative and operational support to business units and departmental teams by coordinating office activities, managing records, preparing reports, and supporting daily business operations.
Serves as a key point of contact for employees, vendors, and internal stakeholders while ensuring efficient administrative processes and exceptional customer service.
Key Responsibilities:
Provide administrative support to assigned departments and leadership teams.
Maintain employee attendance, timekeeping, and related reporting.
Process expense reports and assist with reimbursement activities.
Manage filing systems and maintain organized records.
Order and maintain office supplies and equipment.
Coordinate travel arrangements and related logistics.
Schedule meetings, coordinate calendars, and prepare meeting materials.
Gather, compile, and analyze data; prepare reports and presentations.
Maintain records retention and document management processes.
Support organizational safety, compliance, and business initiatives.
Coordinate communication with vendors and service providers regarding office equipment and administrative services.
Assist with employee programs, recognition activities, and departmental events.
Support workforce administration activities, including leave tracking and personnel documentation.
Review and verify documentation for accuracy and completeness.
Provide backup support for administrative functions across departments as needed.
Deliver excellent customer service to internal and external stakeholders.
Education & Experience:
High school diploma or equivalent required.
Associate degree, vocational training, or relevant certification preferred.
Three to five years of administrative support experience preferred.
Experience with business, financial, human resources, or timekeeping systems preferred.
Experience coordinating meetings, travel, calendars, and report preparation required.
Accounts payable or expense processing experience preferred.
Strong proficiency in Microsoft Office applications required.
Experience supporting multiple departments and working in a fast-paced environment preferred.
